How to Transition Your Property Management Strategy for Seasonal Roof Care

Most commercial property managers don’t pay attention to the roof unless an issue arises. This reactive maintenance strategy can be costly, and unfortunately, the best time to address any roofing problems for the upcoming season is during the transition between winter and spring or summer and fall.

Treat Seasonal Transitions As Financial Decisions

A roof shouldn’t just be something you think about when it starts leaking. It’s an asset, not an afterthought or an inconvenience. A good roof works, protects your business operations, and costs (time and resources) very little beyond an annual inspection and a little checklist of seasonal chores.

The long-term payoff is quantifiable: take a disciplined, building-sciences approach to your roof’s lifecycle management, and it will only cost you about .002-.03% annually based on the initial capital costs. The first-year maintenance budget will often be higher while the warranty holds, but expenses will start dropping afterward and only increase again as the roof ages – if you let it.

Address What Freeze-Thaw Cycles Actually Do

Not all roofs will be damaged by winter to the same level. The damage is focused on perimeter elements – flashing, coping, and expansion joints – because these are the areas of dissimilar materials coming together where the most movement occurs.

Thermal shock is the culprit. As temperatures fluctuate wildly between freezing nights and sunny days, your roofing membrane and substrate expands and contracts at different rates. Over the course of a winter, this repeated stress works water past hairline openings, which then freeze, expand, and become larger openings. By spring, that insignificant seam split in October is now a water penetration highway.

Your post-winter inspection should start at the perimeter. Walk every edge. Look for lifted or separated flashing, coping displacement, and any visible gaps at expansion joints. These are the areas most likely to admit water before you can see any interior evidence of a problem.

Divide The Work Correctly

Not everything on the seasonal inspection checklist requires a certified contractor. Debris removal, basic drain clearing, and visual surface checks are reasonable tasks for in-house facility staff, provided they’re trained on safe rooftop access procedures.

But technical assessments and repairs aren’t. Complex tasks – repairing compromised TPO seams, sealing deep membrane punctures, or conducting infrared scans – should be handled by a licensed commercial roofing company to ensure that the building’s structural warranty stays intact. Most manufacturer warranties include a clause that voids coverage if repairs are performed by non certified personnel. That’s a risk that no facility manager should absorb to save a few hundred dollars on a service call.

Clear Drainage Before It Becomes A Structural Issue

Water accumulating on a rooftop for more than 48 hours, also known as ponding water, is a major culprit when it comes to premature membrane degradation. However, this issue is also the easiest to prevent when proper drainage is approached as a priority, not an afterthought.

Scuppers, internal drains, and gutters fill up with debris every season. Leaves and organic material often accumulate in autumn, and freeze-thaw cycles can cause debris to become compressed into solid blockages that can’t be washed out by rainfall. Standing water during a storm in spring caused by a single blocked scupper can overload a roof assembly.

Clear every drain point before peak rain seasons. And test the flow rate rather than just visually checking if there is water and where it’s coming from. A drain that is open to a sight check might still be partially blocked at depth.

Inspect Ancillary Equipment Systematically

HVAC units, condenser lines, pitch pockets, and cable penetrations are all areas where your roof membrane has been cut and punctured to accommodate equipment. Each of those openings comes with its own risks and a to-do list after a high-wind event.

Some form of condensation damage, for example, will likely be your first failure after a storm. Wind uplift can move rooftop equipment slightly, causing the seal on a pitch pocket to break, or the flashing collar on a condenser line to become dislodged. This isn’t enough force to cause that satisfying sound of tearing metal, but the resulting leak will expose your roof deck to saturation.

Condenser fans and air handlers aren’t the only things that might have moved during the windstorm. Any tool or ladder left on the roof is a potential projectile. Scraps of punctured membrane are also frequently a part of the post-storm inspection report; a further annoyance now stuck in your fans and drains.

Examine your rooftop equipment individually and build a checklist just like you did with seam overlaps. Determine if the seal around an opening is undamaged and still properly adhered to the roof membrane. Determine if the equipment has moved at all and inspect the edge where the roof membrane wraps around the bottom of the piece of equipment, or the metal boot flashing the equipment sits within.

Build The Schedule, Not Just The Intent

A semi-annual maintenance program will serve you well if your roof is new and in good condition, because you’ll keep it performing at its best, minimize unexpected expenses, and get the full life out of your original investment. For an aging roof, you’ll manage the ongoing costs until you’re ready to take the plunge on a new one.
